When a homeowner's AC dies in a Dallas August, or a storm knocks shingles into the yard, they don't fill out one form. They fill out three or four and call whoever answers. The company that calls back first gets the first shot, and often the job.
Minutes, not hours
There's no magic number, but the rule is simple: call back while they're still thinking about the problem. That means minutes, not the end of the day. A homeowner who filled out your form 10 minutes ago remembers it. By tomorrow they've already booked an inspection with someone else.
Why contractors are slow
It's not laziness. You're on a roof, under a house or driving between jobs. The office person is on another call. The lead comes in by email and nobody sees it until dinner. Common leaks:
- Leads go to an inbox nobody watches during the day.
- Missed calls go to a voicemail box that's full.
- Leads from different sources (website, Google, Angi, Facebook) land in different places.
- Nobody owns the job of calling back.
How to get faster without hiring
- Send every lead to one place and get a phone alert for each one, not just an email.
- Text first if you can't call. A quick "Got your request, this is [name] with [company], I'll call you within the hour" holds your spot.
- Return missed calls in batches at set times, such as every two hours, instead of "when I get a chance."
- Decide who calls. One person, every day. If it's everybody's job, it's nobody's.
- Track it. Write down when the lead came in and when you called. You'll see the gaps fast.
What to say on the first call
- Use their name and say what they asked about.
- Ask one or two questions about the problem.
- Offer two specific times for an estimate: "I can be there tomorrow at 10 or Thursday at 3."
- Confirm by text right after the call.
If you missed them, don't give up
Most leads that don't answer the first time will answer the third or fourth. A short follow-up schedule over the next few days catches the ones who were at work or in a meeting. See our 30-day follow-up plan for one you can copy.
